The next shift needs the unfinished decisions, not yesterday's entire log

TL;DR — what you’ll learn

  • Carry forward unfinished work, restrictions, commitments and owned actions.
  • Preserve an issue's identity across shifts instead of creating disconnected copies.
  • Keep acknowledgement separate from investigation and closure.
  • Review AI-prepared summaries against linked source records before using them.

The evening team receives twelve pages of notes and misses one sentence about a partly filled tank. The morning team believes the issue was handed over. The incoming team believes the log was background reading. A useful handover makes unfinished work impossible to confuse with history.

What belongs in a useful food factory shift handover?

Carry forward the work and decisions that remain open: current production state, restricted material, equipment exceptions, commitments and next actions. Give each item an owner and a source record. A handover acknowledgement means the next team received the information; it does not close the underlying issue.

Five things worth carrying forward

Adapt the list to the site's approved operating procedures. Keep the handover short enough to review while preserving links to the complete records.

  • Production still in progress, with the actual stage and relevant quantities.
  • Material or finished goods with a restricted or unresolved status.
  • Equipment conditions affecting the next planned activity.
  • Customer or dispatch commitments that need attention during the next shift.
  • Open actions, responsible owners and the next review point.

Show what changed since the previous handover

If an issue remains open, retain its identity and append the latest update. Copying it into a new note every shift can lose ownership and make one issue appear to be several. Acknowledgement, investigation and closure are different events and should have different meanings.

For example, an illustrative tank holds 300 litres of unfinished product at shift end. The next team needs the batch reference, current state and approved next action, not an unsupported statement that it is 'ready'. Stock-entry records provide movement evidence, but the handover must also identify the unresolved production decision.

Turn a vague note into an actionable record

A note reading tank issue pending tells the next shift very little. A useful record identifies the tank, batch, current stage, relevant quantity, restriction if any, responsible person and the next authorised action. It should link to the production or quality record that establishes the state.

For the illustrative 300 litres of unfinished product, the handover should not infer that it is ready for the next stage merely because the previous shift stopped working on it. State what is known and what remains awaiting a decision. The incoming lead can acknowledge the handover without accidentally approving the process step.

Show changes without copying the whole history

An issue may remain open for several shifts. Keep one record and show the latest change plus a link to its history. If each lead copies the note into a new log, different versions can acquire different owners or appear to describe several separate problems. Stable identity helps the team see whether anything actually changed.

Mark an action closed only through the approved underlying workflow. Reading a handover, adding a comment or acknowledging receipt should not close a quality hold, maintenance issue or customer commitment. If the handover tool cannot update the source system safely, it can record the acknowledgement and link the owner to the authoritative record.

Make missing information visible in a generated summary

An AI tool may assemble open records and draft a concise handover, but it needs clear boundaries. Every operational assertion should have a source, and conflicting statuses should be surfaced for review. A missing quantity or owner should remain missing rather than be completed from a likely pattern.

Test the draft with a resolved issue whose old note is still visible, a newly restricted lot and an item assigned to someone unavailable. The shift lead should be able to correct the summary and route the underlying record for repair. Keep the reviewed version and its time so the next team knows which information the handover represented.

Judge continuity, not document length

After a few consecutive shifts, review whether the incoming team knew the next step for each open item and whether any issue disappeared without resolution. Count repeated clarification requests and missed actions with their causes. A shorter handover that preserves the relevant evidence can be more effective than a complete transcript of the previous shift's activity.

Summarise from records, then let the shift lead review

An AI summary can assemble outstanding items from approved systems, provided every statement links to its source and the shift lead checks it before use. It should mark missing information instead of filling gaps with a plausible narrative. Critical status changes still need to update the underlying system of record.

Trial the format across consecutive shifts and ask the incoming lead to reconstruct each open item's next step. Measure missed actions and repeated clarification requests. The aim is continuity of responsibility, not a longer electronic logbook.

Summary

A handover should let the incoming team identify the current state and the next responsible action. Stable issue references, clear ownership and source links prevent important work from disappearing into copied notes. A concise reviewed summary is useful when the underlying operational records remain authoritative.

What to do next

  1. Review the last three handovers for repeated notes without an owner or next step.
  2. Define which open records should appear automatically in the next shift's summary.
  3. Ask the incoming lead to reconstruct each action and record any missing evidence.
