Quality control

The certificate arrived. The ingredient still needs a release decision.

TL;DR — what you’ll learn

  • Match the certificate to the supplier, material and actual received lot before reviewing results.
  • Extract values with their units, qualifiers and source locations intact.
  • Compare against the applicable approved specification version, with uncertain fields routed for review.
  • Keep the authorised release decision separate from a successful document upload.

Receiving has the truck, purchasing has the invoice and quality has a PDF called COA-final.pdf. The PDF is readable, but its lot reference differs from the delivery label by one character. Posting the attachment to the receipt would make the paperwork look complete while leaving the most important question unanswered: does this certificate describe the material that arrived?

How can a food plant automate supplier certificates of analysis without confusing document capture with release?

A certificate of analysis reports specified results for an identified material or lot. Automation can capture it, match it to a receipt and prepare a comparison with approved requirements. The quality team still needs to verify applicability, resolve missing or ambiguous evidence and make the authorised disposition decision.

Match identity before interpreting the result

Capture supplier, material description, supplier lot, certificate reference, issue date and the receipt relationship. Keep the original document. A supplier may use a material name that differs from the ERP item name, so maintain reviewed mappings rather than letting a model establish a new equivalence whenever it sees similar wording.

In an illustrative case, the receipt identifies lot F2418 while the certificate identifies F241B. The workflow should show the mismatch with both source locations and ask the appropriate reviewer to resolve it. Choosing the nearest-looking lot would create false traceability. A clear unknown state is more useful than a confident but unsupported match.

A result includes more than its numeric characters

Retain the reported test name, result, unit, qualifier and method reference where present. A less-than sign, a not-detected statement or a missing unit can change the meaning of the field. Do not normalise those away merely to fit a numeric column. Store the original expression alongside any reviewed structured interpretation.

Microsoft's document-extraction guidance treats confidence as information associated with extracted content. For this workflow, evaluate identity, units and qualifiers on the supplier documents actually received. A high confidence score is not evidence that a test result belongs to the correct lot or satisfies the intended specification.

Use the specification that applies to this receipt

The quality owner should identify the approved specification and version used for the comparison. A newer specification may not automatically apply to an earlier receipt or every customer use. Keep that applicability decision explicit. The integration can retrieve approved requirements, but it should not invent limits from previous certificates or infer that the supplier's own stated range is the buyer's acceptance rule.

If a required test is absent, label it missing. If the reported unit differs, route it through a reviewed conversion or interpretation process appropriate to the test. A software project should not turn a generic unit-conversion library into an automatic scientific equivalence decision. Record the evidence and the accountable review.

Design the review screen around the unresolved fields

Show the source page beside extracted fields, the matched receipt and the applicable requirement. Highlight identity differences, missing results, unreadable fields and specification mismatches separately. This gives the reviewer a small set of decisions instead of another document to retype.

A corrected extraction should retain the original proposed value, approved value and reviewer. If the supplier sends a revised certificate, keep the earlier version and show what changed. Reprocessing a file must not create another quality decision or attach the same certificate to several unrelated receipts without review.

Connect the approved outcome to inventory

A completed document review and an inventory release are different events. The integration should update the relevant status only through the site's authorised workflow. Keep the quality decision reference with the stock record and make failures visible: an approved decision that did not reach the ERP is still an unresolved handover.

Test the opposite direction too. If a decision is reopened or a lot is restricted later, identify the downstream reservations and stock views that need updating. The implementation should preserve the event history and assign exceptions rather than silently replace a released label with another value.

Scope the first project with representative evidence

Begin with one material family and a manageable supplier group. Provide redacted certificates, the approved requirement structure and examples of a missing test, a lot mismatch and a revised document. Measure reviewer time, extraction corrections and unresolved receipt age separately.

The acceptance exercise should include a certificate that looks normal but belongs to another lot. A useful first delivery prepares accurate review records and a dependable ERP handoff. Automated release should not be assumed to be part of the project merely because document extraction works.

Summary

Supplier CoA automation is an evidence workflow. Identity, result meaning and specification applicability must be established before a disposition decision uses the document. A reviewed record with reliable versioning and inventory handoff is a stronger outcome than a high extraction score alone.

What to do next

  1. Choose a material family and collect representative redacted certificates and receipt records.
  2. Define the identity, field-review and specification-applicability checks with quality.
  3. Test a wrong-lot document and a revised certificate before enabling the ERP handoff.
