An overnight shift should not become two attendance problems
For HR managers, plant administrators and operations heads · Plan implementation
TL;DR — what you’ll learn
- Reconcile events against the assigned shift, including shifts crossing midnight.
- Preserve source timestamps, delayed uploads and approved corrections.
- Treat missing or conflicting device events as exceptions requiring evidence.
- Send reviewed results to payroll through the existing authorised process.

An employee starts at 10 p.m. and finishes at 6 a.m. A report grouped by calendar date shows an unmatched entry on one day and an unmatched exit on the next. HR spends the morning repairing a problem created by the report's boundary.
How can a food plant reconcile attendance exceptions before payroll processing?
Match check-in events to the assigned shift and its time boundary, then route missing or conflicting records for review. Preserve the original events and approved corrections. An absent device record should trigger investigation, not an automatic conclusion about whether someone worked.

Make the shift the unit of reconciliation
Keep the assigned shift, event timestamp, time zone and source device together. Define how the organisation handles early arrivals, late exits and changes in assignment. The treatment must come from approved policy and applicable requirements, not a developer's convenient rounding rule.
Frappe HR's shift-management documentation connects assignments and check-ins. The practical integration must also account for delayed device synchronisation and corrected source records.

Missing evidence needs a correction path
An employee may have worked during a device outage or used an alternative authorised entry process. Show the exception to the appropriate reviewer with the original events and any supporting records. Allow employees to raise a correction through the established process, and retain who approved the final change.
For an illustrative shift with one entry and no exit, the system should label the interval incomplete. It should not manufacture an exit time from a typical pattern and present it as observed fact. A suggested interpretation, if useful, must remain clearly distinct from the record.
Preserve raw events before interpreting them
Keep the original device event ID, timestamp, source and receipt time. The interpreted attendance record should link to those events rather than replace them. If a device uploads yesterday's events today, the business needs to distinguish the time of attendance evidence from the time the integration received it.
Repeated transmission can produce duplicate events. Use stable source identities where available and define a reviewed approach where devices lack them. Do not assume that two nearby timestamps are duplicates without checking the source behaviour; a legitimate exit and re-entry may occur close together. The reconciliation rule should be visible to the HR owner.
Handle reassignment before pairing check-ins
Suppose an employee originally scheduled for a day shift is reassigned to an overnight shift. Pairing events against the old assignment can create missing entries, excessive intervals or two apparent absences. Preserve the effective assignment change and use the approved record when interpreting the relevant events.
The same issue arises when a shift is cancelled or an employee works at another authorised site. Route records that do not fit the assignment for review. A system should not force them into the closest shift merely to remove the exception. The reviewer needs the assignment history, source events and any approved alternative record together.
Make the correction visible to the affected person
A correction process should let the employee raise a missing or inaccurate record through the organisation's established route. Record the request, supporting evidence, reviewer and outcome. Where the system proposes an interpretation, label it as a proposal until approved. A guessed time should never appear as an observed device event.
Before payroll export, show which intervals remain incomplete and which were corrected under approved policy. Retain the export version and its approval so a later correction can be linked to the data already sent. This prevents a re-export from silently replacing an earlier reviewed file without anyone understanding the difference.
Evaluate the administrative result
Measure how many exceptions require clarification, how long they remain open and how often a reviewed export needs correction. Review those measures by exception type rather than ranking employees. A device problem affecting one entrance should lead to a device or process investigation, not an inference about the people who used it. The business benefit is a more dependable HR record and less repeated reconciliation work.
Limit what the pilot is allowed to decide
Start with event reconciliation and an approved export to the existing payroll workflow. Test a duplicate event, an overnight shift, a reassignment and a device that uploads yesterday's events late. Restrict access to employee records and avoid copying unnecessary personal data into general operations dashboards.
Track exception age and correction effort rather than advertising an untested payroll accuracy claim. A successful pilot leaves HR with fewer unexplained records and a clear approval trail. It does not make autonomous pay deductions or disciplinary decisions based on incomplete attendance data.
Summary
Attendance reconciliation should establish a reliable event account before payroll decisions use it. Shift boundaries, device delays and corrections need explicit treatment. Automation can organise the evidence and reduce clerical work while HR retains review, employee correction routes and the approved payroll handoff.
What to do next
- Collect anonymised examples of an overnight shift, a missing event and a late device upload.
- Document the approved shift-boundary and correction rules with HR.
- Test the reviewed export against the existing payroll input format without automating pay decisions.
