Coordinate eye-care surgery administration across visits

TL;DR — what you’ll learn
- Link the booking to a recorded clinical authority without deriving readiness from administrative fields.
- Separate an item reservation from physical issue, use and return.
- Reconcile each affected reservation when a case is rescheduled.
- Apply the approved commercial change separately from the calendar change.
An eye-care centre moves a planned case from Tuesday to Friday. A requested item remains reserved against Tuesday's booking, a new reservation is created for Friday, and the billing desk sees two preparation entries. The item never left stores, but the screens now suggest two different demands.
Eye hospital administration needs a controlled reschedule that follows the booking, authorised item request, stock reservation and commercial version together. The purpose is to keep the records consistent. Scheduling software does not choose an item, establish clinical suitability or independently declare a person ready for a procedure.
Record authority without copying the clinical decision
Use a reference to an existing authorised clinical decision as an input to scheduling. Ask the responsible clinician to define what that reference permits and what a date change requires, including reassessment. The administrative design does not determine readiness or select an item. If the reference no longer permits coordination, retain an owned exception until the authorised owner supplies the next action.
The item request should similarly refer to an authorised selection. Stores handles custody and reservation against that request; an availability search must not silently substitute a different item. Any proposed substitution returns to the appropriate authorised owner.
Bahmni lists registration, inpatient, stock and billing functions. That module scope does not demonstrate the eye-care reschedule described here. Ask the actual product to preserve the booking, authorised request and one intended reservation through both amendment and release/recreate cases. Record unresolved custody or recovery limitations before enabling the integration.
Distinguish reservation from stock movement
In a synthetic example, stores holds two units of an approved item. One is reserved for case E-37, leaving one unreserved. If the authorised reschedule releases that reservation, physical stock remains two and unreserved stock becomes two. A subsequent authorised reservation for Friday returns the unreserved balance to one. Neither operation is a receipt or evidence of use.

| Action | Physical units | Reserved units | Unreserved units |
|---|---|---|---|
| Tuesday reservation exists | 2 | 1 | 1 |
| Reservation released | 2 | 0 | 2 |
| Friday reservation approved | 2 | 1 | 1 |
The two-unit arithmetic assumes both items remain in stores with no other movements. If custody or condition has changed, obtain the applicable disposition from the authorised clinical, quality or stores owner before changing availability. The example supplies no reuse rule. Keep that unresolved decision visible during reconciliation rather than restoring availability from the calendar cancellation.
Choose between preserving and replacing the reservation
Some systems can amend the reservation date under the same identifier and retain a full history. Others release the original and create a new linked reservation. Either model can be evaluated if the original request, change authority and final allocation remain clear.
What matters is the invariant: one current intended allocation for the authorised demand, with an explicit explanation for any temporary unresolved state. If the new date or requested item cannot be confirmed, leave an owned exception rather than fabricating readiness to make the diary look complete.

Include the financial and communication handovers
A revised date may leave the commercial package unchanged, or it may require a separately authorised amendment. Keep the deposit and prior estimate reference intact. Do not create a second charge because a new appointment identifier was generated. The applicable charging and acknowledgement rules belong to the practice's approved commercial process.
Test a reschedule before issue, a change after issue, a cancellation with unresolved custody and a repeated scheduling message. Ask the system owner to show the original request, the current booking and a stock balance that reconciles to physical events. Permissions should prevent an administrative operator from changing clinical selection or inventing a disposition.
The most useful coordination screen answers three practical questions: which booking is current, what item demand remains authorised, and which record still needs a decision. That makes rescheduling manageable without treating software convenience as clinical authority.
Next actions
- Map the booking, readiness reference, item request, reservation and commercial record for one synthetic case.
- Reproduce the two-unit example and a separate case where custody has already changed.
- Test repeated messages and unresolved disposition before accepting an automated reschedule.

Applying this guide
The scenarios and numbers are illustrative. Confirm these provider-specific inputs before implementation:
- Authorised ophthalmologist and clinical operations lead: Approved responsibility and readiness-change process; no item selection inferred by software.
- Clinical stores lead, authorised clinician and finance owner: Custody/disposition rules for each item state and approved package/cancellation policy.
- HIS and inventory integration owner: Tests for date amendments, issue-before-cancellation, repeated messages and role restrictions.
