The lowest quoted price may describe a different purchase
For Procurement heads, buyers and materials planners · Plan implementation
TL;DR — what you’ll learn
- Check that each quotation covers the requested specification and purchase scope.
- Normalise approved units and compare the actual order quantity, freight and other stated charges.
- Keep missing terms and uncertain mappings visible for buyer review.
- Separate a comparison recommendation from supplier selection and commercial acceptance.

One supplier quotes per kilogram, another per twenty-five-kilogram sack and a third quotes a lower rate for a larger minimum order. The buyer can compare them, but only after rebuilding the offers in a spreadsheet. AI can help with that preparation if it preserves what the suppliers actually offered instead of completing the missing terms itself.
How can food businesses automate quotation comparison without choosing an incomparable low price?
RFQ automation should assemble comparable offers with their assumptions and exceptions visible. Extracted prices need the correct item, unit, quantity, validity and terms before comparison. The buyer then reviews the evidence and makes the authorised commercial decision; a lowest-number sort is insufficient.

Establish whether the offers describe the same requirement
Identify the requested material specification, approved supplier conditions, quantity, delivery need and any required documentation. Compare each offer against that scope before ranking prices. A cheaper alternative with a different specification belongs in a review path, not silently in the same comparable-price column.
Frappe's supplier-quotation documentation provides a reference for recording supplier responses and comparing them against an RFQ. The important implementation question is how the business preserves each response's scope, version and exceptions. The software cannot establish product equivalence from similar descriptions alone.

Compare the actual order, not only the unit rate
For an illustrative requirement of 250 kilograms, Supplier A quotes ₹80 per kilogram with ₹1,000 freight. Supplier B quotes ₹1,950 per twenty-five-kilogram sack, equivalent to ₹78 per kilogram, but requires twenty sacks. Assuming the stated charges are complete for this simple example, A's 250-kilogram order costs ₹21,000. B's minimum 500-kilogram order costs ₹39,000 before any unstated charges.
B has the lower quoted material rate, but the purchase uses more cash and brings twice the required quantity. That may or may not be worthwhile. The buyer needs the demand and usable-life consequences, not a declaration that B is automatically cheaper. Keep taxes, currency conversion and accounting treatment on the finance-approved basis where they apply.
| Offer | Comparable material rate | Required order | Stated order cost |
|---|---|---|---|
| A | ₹80/kg | 250 kg | ₹21,000 including stated freight |
| B | ₹78/kg | 500 kg minimum | ₹39,000 before any unstated charges |
Make the comparison sheet show uncertainty
Capture quoted unit, pack, minimum, delivery commitment, validity, freight basis and other relevant terms. Keep the original expression beside the normalised value. If a price says freight extra without an amount, mark the comparison incomplete for that component rather than enter zero.
AI extraction can propose fields and identify potentially different terms. A reviewer should verify critical quantities, units and scope. Retain the source page or message reference for every proposed value used in the comparison. A polished table is not sufficient if the buyer cannot find the evidence behind a number.
A revised quotation needs its own version and a comparison with the previous offer. Show changed rates, quantities and terms. Re-importing an unchanged file should not create another independent offer that distorts the count of responses or the apparent negotiation history.
Separate evaluation from commitment
A comparison can identify an option and the questions still requiring clarification. Supplier selection, approval and acceptance of terms remain the business's authorised actions. The integration should not convert a model recommendation into an order or send an acceptance simply because all extracted fields are populated.
Include delivery feasibility, approved quality status and the cost of excess stock in the review where relevant. The relative importance of those factors belongs to the purchasing decision. If the business uses a weighted score, show its criteria and preserve the underlying offers; a single number should not conceal an unresolved specification mismatch.
When an offer is selected, link the authorised decision and source version to the resulting purchase record. That link helps receiving and finance explain why the order contains a particular pack, price or delivery condition later.
Pilot the difficult comparisons
Choose one material family with genuinely different quotation formats. Include a different pack unit, a minimum order, an unstated charge and a revised offer. Create an independently checked comparison for the sample, then measure the time and corrections required using the automation.
The useful first delivery is a reviewable comparison and a clear list of questions for the buyer. Bring redacted RFQs, quotations and the current evaluation sheet to scope the project. A successful extraction percentage alone does not establish that the resulting purchasing decision is well supported.
Summary
Quotation automation should make offers comparable without hiding their differences. Approved specification, unit, order size and complete stated terms determine what the price means. A traceable review separates the preparation work AI can assist with from the commercial commitment the buyer must authorise.
What to do next
- Choose recent offers with different units or minimums and rebuild a checked comparison.
- Define which missing terms prevent a complete evaluation.
- Test a revised offer and verify the link from approved selection to purchase order.
