A delivery photo does not explain what the customer accepted
For Logistics heads, warehouse leads and distribution managers · Plan implementation
TL;DR — what you’ll learn
- Link the receipt to the exact shipment and item lines.
- Record accepted, rejected and unresolved quantities separately.
- Preserve evidence and route exceptions before updating finance or inventory.
- Test offline retries, partial receipts and later corrections.

The driver marks the stop delivered and uploads a signed sheet. Finance invoices the full quantity. A week later the customer deducts for five rejected cases, but the rejection note is handwritten on the same sheet nobody reviewed. The delivery was documented; the exception never reached the people who needed it.
How should proof of delivery connect to a food business's ERP?
Proof of delivery should connect the customer's receipt evidence to the quantities and conditions recorded for a specific dispatch. The integration needs explicit exceptions for shortages, rejections and returns, with controlled updates to the relevant ERP records. A signature or photograph alone does not establish full acceptance or settlement.

Start from the dispatch lines
Give the mobile delivery record a stable shipment reference and the dispatched item lines, quantities and units. Include lot or handling-unit references where the business requires them. Avoid asking the driver to recreate the shipment from a free-text customer name at the delivery point.
Frappe's Delivery Note documentation provides a product reference for dispatch records and related returns. The proposed integration adds a separate receipt and exception account around that transaction. Dispatch, physical arrival, customer acceptance and invoicing are different events, even when they happen close together.

Capture the quantity account at the handover
In an illustrative delivery of 100 cases, the customer accepts ninety-two, rejects five and reports three missing. The record should preserve all three positions. It should not mark 100 accepted because the stop has a signature, or automatically return eight cases to stock when only five are physically available to return.
Link the rejection reason and any supporting evidence to the relevant line. Keep customer-reported quantities distinct from the driver's observation if they disagree. An unresolved difference needs an owner and follow-up, not a forced choice that makes the form easier to submit.
| Position | Cases | Next record |
|---|---|---|
| Accepted | 92 | Customer receipt |
| Rejected and physically available | 5 | Controlled return or other authorised disposition |
| Reported missing | 3 | Delivery discrepancy investigation |
Separate evidence collection from financial posting
The mobile record can notify customer service and finance that an exception exists. Whether the business changes an invoice, issues a credit or disputes a deduction follows its authorised process. Do not let an image classifier make that commercial decision from a photograph or handwritten note.
Likewise, a return request does not establish that stock has arrived back or is available for sale. The receiving and quality processes determine its physical and commercial status. Link those later records to the original delivery so the account can be reconciled without overwriting the first handover evidence.
Make mobile capture resilient
Use a unique event identifier for the handover so a retry cannot create a second receipt or duplicate downstream posting. Show the driver which records are saved locally and which have reached the server. A lost connection should not require the driver to invent a new delivery record to continue the route.
Capture observation time and upload time separately. Retain corrections with the original record and reason. If the customer later disputes a quantity, the reviewer should be able to reconstruct what was recorded at the stop and what changed afterwards.
Collect only the evidence the business needs and handle customer and driver information under the applicable access and retention policy. A delivery image may contain personal or commercial information unrelated to the dispute; broad visibility is not necessary for every user who needs the shipment status.
Prove the exception path before rolling out the app
Choose recent partial receipts and disputed deliveries, then replay them through a test integration. Check line mapping, unit conversion, offline retry and the link to subsequent returns or credits. The test should end with a reconciled account that finance and logistics both understand.
Measure time from handover to exception visibility, unresolved discrepancy age and manual re-entry. A high percentage of signed deliveries is not enough if shortages still reach finance only through deductions. Bring redacted delivery notes, receipt evidence and a recent dispute to scope a first implementation.
Summary
Proof of delivery creates value when it explains the handover and carries exceptions into the next workflow. Preserve line-level quantities, evidence and corrections, then let authorised inventory and finance processes resolve the consequences. Test a disputed partial receipt before celebrating a completed mobile form.
What to do next
- Reconcile one disputed delivery from dispatch through receipt, return and finance records.
- Define accepted, rejected and unresolved quantity states.
- Test a duplicate offline upload and confirm that it creates only one receipt event.
