Finance / Compare approachesOil and gas accounting software: test the operating model before the feature list
For Operator, oilfield service company and equipment supplier
TL;DR — what you’ll learn
- Define whether the business is an operator, service provider, equipment rental company or a combination before shortlisting software.
- Separate financial accounting from production accounting and specialist operational records.
- Use scripted transactions to test acceptance, allocation, revisions and reporting rather than relying on feature names.
- Have a qualified accountant verify entity-specific reporting and Indian localisation requirements, then compare configuration, integration and replacement.

Topics: oil and gas accounting software; Indian accounting requirements; operator accounting systems; service-company finance workflows.
Two companies search for oil and gas accounting software. One operates assets and needs its financial close connected to approved operational information. The other rents equipment and invoices service periods against customer acknowledgements. Both need accounts payable and a general ledger, but their difficult transactions are different.
The shortlist should follow the operating model and its evidence flows. A product's industry label is useful only if the implementation can demonstrate the transactions that matter to the business.
Separate the ledgers and the questions they answer
Financial accounting records the entity's accounting transactions and reporting under its applicable framework. Production accounting tracks approved operational quantities and their reporting lineage. Rental management tracks equipment identity, commercial periods and contract events. A maintenance system records work and asset history.
One platform may cover several of these functions, or they may be integrated. The evaluation should establish where each authoritative record lives and how the information reaches finance. Do not assume that a production-volume dashboard constitutes financial accounting, or that a fixed-asset register manages every equipment rental event.
The controller should document the entity, business models, reporting framework, currencies, locations and intercompany relationships. A qualified accountant confirms applicable accounting and tax requirements. ICAI's Ind AS compendium is a useful current reference entry point; applicability and operative amendments still need entity-specific review. ICAI compendium
This article does not prescribe recognition, capitalisation, depreciation, tax or exploration-accounting policies. Those policies must be established before they become software configuration.
- Map the operating model
Separate ledger, service, rental and operational records.
Owner: Controller + business owners
- Run difficult transaction scripts
Include disputes, corrections, localisation and usable data export.
Owner: Vendor + evaluation team
Compare viable implementation options
Assess configuration, integration or replacement with support and lifecycle costs.
Record the delivery gap
Keep custom development and configuration promises as unproven dependencies.
Owner: Requirement owner + vendor
Retest after remediation; preferences cannot offset a mandatory failure.
Entity-specific accounting and tax requirements remain with the qualified accountant.

Demonstrate the commercial event behind the amount
Illustrative example. A fictional equipment-service company has two separate test transactions, excluding tax.
For a service job, the customer has accepted six units at ₹18,000 each while three claimed units remain disputed. The supported base value under the example process is ₹1,08,000, with ₹54,000 pending. The system should retain the claim, acceptance and billing relationship rather than simply invoice all nine claimed units.
For a rental, the fictional contract charges ₹3,000 per calendar day with both the start and accepted off-hire day included. Equipment is on hire from 1 to 10 October, giving 10 × ₹3,000 = ₹30,000. It is physically returned on 12 October, but the contract owner confirms that the charge ended on the accepted off-hire date. A system that bills until physical return would propose 12 × ₹3,000 = ₹36,000, a ₹6,000 difference.
The day-counting convention and off-hire rule are invented example terms, not an industry norm. The test demonstrates why contract events, physical movements and financial entries need distinct fields. The accountant separately determines the accounting treatment.
10 days × ₹3,000 = ₹30,000 under the invented inclusive rule.
Billing through return would propose 12 days × ₹3,000 = ₹36,000.
Keep charge period and physical custody as separate fields.
Illustrative contract, excluding tax: hire starts 1 October and includes the accepted off-hire day. This software-fit test does not establish accounting policy or an industry rule.

Give each business model its own script
Scroll horizontally to see all columns.
| Business model | Scenario worth demonstrating | Evidence to inspect |
|---|---|---|
| Operating company | Approved operational correction received after a reporting close | Source version, accounting review and supported period treatment |
| Service provider | Partial customer acceptance and later dispute resolution | Claim-to-acceptance-to-invoice traceability |
| Equipment rental | Serial swap, off-hire decision and later physical return | Serial history, contract basis and charge-period calculation |
| Business with joint arrangements | Allocation and partner reporting under its actual agreement | Approved allocation basis, review, reconciliation and correction history |
| Multi-entity group | Intercompany transaction and consolidation handover | Entity ownership, approvals, reconciliation and export evidence |
These scripts identify questions; they do not assume every business needs every module. A supplier with straightforward goods sales should not pay for operator-specific functions solely because the product carries an oil-and-gas label.
Include exceptions in every demonstration: missing acceptance, revised price, duplicate invoice, rejected allocation or a closed period. Ask the vendor to show the resulting record and next decision, not just describe what could be configured.
Verify localisation with an accountable owner
Create a requirement matrix for the actual entity's reporting and tax obligations. The accountant specifies the requirement and expected output; the vendor identifies whether it is standard, configured, customised or external. Record the release, localisation package, update responsibility and evidence from the demonstration.
An older standards PDF or a generic “India compliant” statement does not establish current fit. ICAI's 2025–26 compendium identifies MCA amendments in its edition notes, illustrating why the source version matters. Retrieve the operative material needed for the entity's decisions before approving configuration. ICAI edition notes
Test corrections and exports, not only initial posting. The controller should be able to reconstruct a transaction, see who approved it and extract the necessary history without depending on a vendor screenshot.
For the export test, choose the disputed service job in the example. Export its order, acceptance versions, invoice links, adjustments and audit history, then ask an analyst to reconstruct the ₹1,08,000 accepted value and ₹54,000 pending claim outside the product. Document any missing attachments, identifiers or proprietary formats. An “export available” checkbox does not show whether the business could use its records after changing systems.
Compare three implementation choices
Configure the existing ERP when the core ledger and controls work and the missing function can be represented through supported settings. Test workflow defaults as well as the intended path. SAP's service-entry documentation, for example, shows that approval behaviour depends on configuration. SAP workflow reference
Integrate a specialist system when rental, service or operational records need capabilities the ledger does not provide well. Define source ownership, approved posting interfaces and reconciliation. The integration cost includes failure handling and support, not just the first data transfer.
Replace the platform when critical requirements cannot be supported sustainably. Include data migration, open transactions, historical access, permissions, training and exit export in the assessment. A long feature list does not remove those obligations.
Turn the demonstrations into a purchase decision
Separate mandatory requirements from preferences before scoring vendors. If retaining acceptance history is mandatory, a failure cannot be offset by a high score for dashboards. For requirements that can reasonably be traded off, agree weights with the business owners and score the demonstrated result, not the product brochure.
Use four evidence states: demonstrated in the proposed release, dependent on configuration, dependent on custom development, and unsupported. Attach a test record to the first; give the next two an owner, estimate and acceptance test. A vendor commitment to build a function remains a delivery dependency until it has been demonstrated.
Compare the costs attached to each option over the same planning period. Include licences, configuration, migration, interfaces, exception support, localisation updates, upgrade testing and eventual data export. A custom rental calculation may look inexpensive initially but need review whenever the contract model or product version changes. Identify who pays for and supports that work before treating the option as equivalent to a supported product feature.
Summary and next actions
Software fit becomes easier to judge when the business demonstrates its real operating model through a few difficult transactions. The decision should rest on supported workflows, current applicability and recoverable records, with unresolved gaps visible.
- Write the entity's operating-model and system-ownership map with the controller.
- Select five critical transaction scripts, including corrections and disputes.
- Have the accountant validate the reporting and localisation requirements.
- Compare configuration, integration and replacement using demonstrated results and lifecycle responsibilities.
A focused assessment can begin with those scripts, current systems and known gaps. It does not require a broad “best software” ranking or access to confidential ledgers.
Assess accounting-software fit
Use operating-model transaction scripts to compare current gaps, supported workflows and implementation options.
