Collect overdue transport invoices with the dispute evidence attached
For finance controller, hr / workforce manager, depot head · Compare approaches
TL;DR — what you’ll learn
- Separate undisputed overdue balances from amounts held for missing evidence or contested charges.
- Reconcile payments and credits before assigning a collection action.
- Track the age and owner of each dispute without changing the invoice's original due date.
- A payment promise or uploaded POD does not by itself settle the receivable.

A customer pays most of a consolidated transport invoice but withholds two lorry receipts because proof of delivery is missing. The accounts-receivable report shows one overdue balance. A generic reminder cannot tell the collector which part needs payment follow-up and which part needs an operations team to supply evidence.
Build the collection queue from the open invoice lines, applied cash, approved credits and documented disputes. Each remaining amount should have a reason, owner and next action. Keep the accounting balance intact while explaining why collection has stalled.
Reconcile the consolidated bill first
Consider an illustrative ₹120,000 invoice covering ten lorry receipts, or LRs, at ₹12,000 each. The invoice was due on 30 September 2026. At the review cut-off of 15 October, finance has applied a ₹96,000 payment to eight identified LRs.

| Component | Amount | Position at the review cut-off |
|---|---|---|
| Original invoice | ₹120,000 | Ten LRs |
| Applied payment | ₹96,000 | Eight LRs settled |
| LR-9 | ₹12,000 | Customer reports missing POD |
| LR-10 | ₹12,000 | Customer reports missing POD |
| Open invoice balance | ₹24,000 | Two documented disputes |
The invoice balance is ₹24,000 and is 15 calendar days past the stated due date. Assume the disputes were first recorded on 10 October; their elapsed age is five days. Those are different clocks. Recording the dispute does not silently reset the invoice due date.
At this cut-off, the entire open balance is classified as disputed. Undisputed overdue value is zero under this example's classification. That does not establish that the customer is legally entitled to withhold payment; it identifies the work needed to resolve the collection case.
If valid evidence for LR-9 is later accepted and its dispute is cleared, the queue can show ₹12,000 undisputed overdue and ₹12,000 still disputed. The total open balance remains ₹24,000 until cash, a credit or another authorised settlement changes it.
Check cash that has arrived but has not been matched
Suppose the bank also shows a ₹10,000 receipt from the same customer, posted as unapplied cash. It is not yet linked to an invoice. The collector should see it before sending a demand, but should not mark either LR settled without an approved allocation.
If remittance evidence later assigns that ₹10,000 to LR-9, the invoice balance becomes ₹14,000: ₹2,000 on LR-9 and ₹12,000 on LR-10. Preserve the payment reference and allocation history.

A customer email saying “paid” is evidence to investigate. A promise to pay next week is a commitment to track. Neither should reduce the receivable before the applicable financial posting and settlement process confirms the change.
Give each hold a specific owner
Use a small set of actionable reasons: missing delivery evidence, quantity disagreement, rate disagreement, tax-document correction, payment not allocated, or no identified dispute. Avoid a catch-all status that leaves every case with the collector.
For the worked example, the transport operations owner retrieves the correct POD, the billing owner checks its association with the invoice line, and the collection owner coordinates the customer response. If the document records a partial delivery, it needs review rather than automatic attachment as proof of clean completion.
Carrier exception guidance can help distinguish an operational problem from a finance task. Delhivery's B2B exception documentation describes shipment-specific exception handling; the actual service agreement and evidence determine the relevant response. Delhivery — B2B exceptions management
Record a next action and a promised internal date for supplying evidence. An overdue operational task should escalate to its accountable owner, while the collector retains a clear view of the financial amount affected.
Preserve the disagreement instead of rewriting the bill
Store the customer's stated reason, the relevant LR or invoice line, the amount disputed, source correspondence and the business's response. A disputed amount can differ from the full line value.
If the customer contests ₹1,500 of a ₹12,000 charge, do not classify all ₹12,000 as disputed by default. Equally, do not assume the remaining ₹10,500 is collectable immediately if the agreement or customer response creates a broader hold. The case owner must confirm the operational classification and commercial position.
Corrections need the authorised credit, rebill or adjustment process. Deleting a line from the collection spreadsheet does not amend the ledger. Preserve the original invoice and the link to any accepted adjustment so a later review can reproduce the balance.
Separate unresolved claims from approved deductions. An expected credit is not a posted credit, and the same credit must not reduce both a dispute register and the accounting balance twice.
Choose a queue that supports the conversation
A controlled worksheet may be enough for a small number of accounts if it refreshes from finance and retains case history. A native collections workspace can place transactions, disputes and payment records together. Integration becomes useful where the key evidence lives in a TMS, WMS or document store.
Test the process with the consolidated invoice, an unapplied payment, a partial credit and a POD attached to the wrong LR. The collector should be able to explain the amount requested without opening unrelated customer records.
Access should follow customer and role boundaries. The collection pack should contain the evidence relevant to the disputed charge, not an unrestricted export of delivery documents or commercial terms for other customers.
Customer-facing reminders remain an authorised person's decision. A suggested message can be prepared from the reconciled case, but unresolved allocations or contradictory evidence should be visible before anyone sends it.
Measure resolution as well as contact activity
Count undisputed overdue value, disputed value by reason, time awaiting internal evidence and promises missed. Show the reporting cut-off and the population of invoices included.
A high number of calls or reminders can coexist with no improvement in the evidence backlog. Track whether a dispute was resolved, whether the resolution reached the customer and whether cash or an approved adjustment actually settled the amount.
For a receivables-workflow assessment, start with one consolidated invoice whose open balance cannot be explained from the collection screen. Reconstructing that case often identifies the missing handoff.
Next actions
- Reconcile invoice lines to applied payments, credits and separately visible unapplied cash.
- Classify the remaining balance by dispute reason and confirmed undisputed amount.
- Assign evidence, billing and collection actions to named owners with separate age measures.
- Review the reconciled case before authorised outreach, and close it only against a documented settlement or resolution.
Discuss this workflow
Describe your current systems, the recurring exception and the outcome you need. Keep shipment, customer and financial records out of the initial message.
