PTL freight charges: compare weight, volume and minimum charges
For shippers, ptl dispatchers and freight audit teams · Understand the problem
TL;DR — what you’ll learn
- Compare actual and volumetric weight using the carrier agreement's units and conversion rule.
- Determine whether rounding and weight comparison happen per package or per consignment.
- A minimum freight charge is different from a minimum chargeable weight.
- Keep pickup, delivery, handling and other additions visible when comparing PTL quotations.

Illustrative distribution centre loading dock apron and yard dispatch office; not a client facility.
All quantities, amounts, product codes and events are illustrative teaching examples.
Two part-truckload quotations can show the same price per kilogram and produce different bills. The shipment is light but bulky, one quote has a minimum consignment charge, and the other excludes an appointment-delivery fee.
To compare PTL freight charges, reconstruct the chargeable quantity first and apply each commercial condition in order. A price-per-kilogram comparison is useful only after the package measurements, rounding, minimum and service scope are aligned.
Start with the actual shipping configuration
Create a package schedule showing package type, count, external dimensions, unit, gross weight and measurement source. Separate package groups with different dimensions. Multiplying the largest carton by every carton can overstate volume; using an average dimension can understate it.
Specify whether the measured unit is a loose carton, a wrapped pallet or another handling unit. Do not add carton cube to pallet cube when the cartons are already inside the measured pallet. For a quote, record assumptions. For invoice review, retain the final dispatch configuration and the carrier's measurement evidence.
Carrier methods differ. V-Xpress's public calculator asks for dimensions, article count, actual weight and route; it describes the higher of actual and dimensional weight as chargeable. Its quoted rules apply to that service context. Logistics rate calculator
Do not import a parcel divisor from another account. The unit relationship belongs with the conversion factor: cubic centimetres per kilogram, kilograms per cubic metre or another stated basis. Label every intermediate result so an inches-to-centimetres error is visible.
Eighteen cartons with a minimum freight charge
This illustrative example uses an invented PTL contract. It is not a V-Xpress quotation. There are eighteen identical cartons, each measuring 50 × 40 × 30 centimetres and weighing 8 kilograms gross. The fictional agreement uses 250 kilograms per cubic metre, compares total actual and total volumetric weight, and rounds the resulting consignment weight up to a whole kilogram.
The volume per carton is 50 × 40 × 30 ÷ 1,000,000 = 0.06 cubic metres. Total volume is 18 × 0.06 = 1.08 cubic metres.

| Calculation | Result |
|---|---|
| Actual gross weight | 18 × 8 = 144 kg |
| Volumetric weight | 1.08 × 250 = 270 kg |
| Higher weight, rounded up to whole kg | 270 kg |
| Freight at ₹9 per chargeable kg | ₹2,430 |
| Minimum consignment freight | ₹2,600 |
| Freight after applying minimum | ₹2,600 |
| Separate contracted handling charge | ₹180 |
| Total before tax and other excluded services | ₹2,780 |
The minimum applies to freight only in this example. Taking the higher of ₹2,430 plus ₹180 and ₹2,600 would produce ₹2,610, which is ₹170 short of the agreed calculation. The sequence is a commercial rule, not an incidental spreadsheet choice.
A minimum weight produces another result. If an alternative quotation sets a 300-kilogram minimum at ₹9 per kilogram and adds ₹180 handling, the total becomes ₹2,880. The two minimums should appear in separate fields.
Sensitivity explains what to measure carefully
Suppose the same eighteen cartons are packed at 25 centimetres high instead of thirty, with gross weight unchanged. Volume becomes 0.9 cubic metres and volumetric weight becomes 225 kilograms. Freight at ₹9 is ₹2,025, but the ₹2,600 minimum still applies. Under the first fictional contract, the pre-tax total remains ₹2,780.
Reducing cube may help handling or a different consignment size, but it produces no freight saving on this particular minimum-bound bill. This is why packaging recommendations need a complete tariff calculation.
For mixed packages, confirm the grain of the comparison. Consider one dense package with actual weight 50 kilograms and volumetric weight 10, and one bulky package with actual weight 10 and volumetric weight 50. Taking the higher weight per package gives 100 kilograms in total. Comparing aggregate actual and aggregate volumetric weight gives sixty. Neither method can be assumed from a field labelled “chargeable weight.”
Rounding can also matter when many small packages are involved. Preserve measurements at their captured precision, apply the contractual rounding at the specified grain, and store both the raw and billed quantities. A rounded display value should not become the only measurement record.
Compare the service behind the number
Build a quote comparison with the same origin, destination, pickup configuration, delivery appointment, service level and billing date basis. Keep each excluded or conditional fee visible. A blank entry should mean unknown until clarified, not zero.
Distinguish a rate estimate from an accepted offer with an applicable validity period. A carrier calculator can help discover inputs; the shipment's accepted terms determine the payable charge.
When the invoice differs, classify the cause before disputing it:

| Difference | Evidence to obtain |
|---|---|
| Carton count changed | Final dispatch and pickup acknowledgement |
| Dimensions or weight changed | Measurement record and identified packages |
| Different conversion or rounding | Applicable service and rate clause |
| Minimum or fee added | Agreed charge scope and triggering event |
| Wrong route or service | Booking and accepted quotation |
Operations should establish the shipment facts. The commercial owner resolves rate applicability. Finance decides the treatment of the disputed invoice under its approval process. These responsibilities prevent a measurement dispute from becoming an unsupported debit.
A useful quote is one the team can reproduce
The smallest reliable comparison is a complete consignment calculation with its service conditions. Retain the actual and volumetric quantities even when the minimum controls the result; they explain what will change when the shipment changes.
Next actions
- Build a package schedule for a representative PTL dispatch.
- Confirm the unit conversion, comparison grain, rounding and minimum for each quote.
- Calculate freight and additional services in the agreed sequence.
- Resolve unknown fees before selecting the apparently cheaper quotation.
