A settlement deposit is the end of a calculation you still need to see

TL;DR — what you’ll learn

  • Reproduce the bridge from sales and adjustments to the deposited amount.
  • Match the underlying transaction references rather than accepting a balanced total as proof.
  • Preserve the sign, period and meaning of fees, returns and corrections.
  • Test changed statements and split deposits without duplicating receipts or adjustments.

The bank deposit matches the total on the retailer's statement exactly. Finance still cannot explain why the amount is lower than expected. Matching two totals is a useful first check, but it leaves every disputed component inside the total untouched.

How do you reconcile a retailer or marketplace settlement with food sales records?

Build a transaction bridge from the settlement's sales and adjustments to the amount deposited, then match its lines to your own records. A balanced statement proves its arithmetic, not that every fee, return or deduction is correct.

Reproduce the settlement before investigating it

In an illustrative statement, eligible sales are ₹200,000, fees ₹12,000, returns ₹8,000 and other adjustments ₹3,000. The expected deposit is ₹177,000, assuming those are the complete components and all adjustments reduce the payment. Preserve the sign and meaning of every statement line. Tax treatment and accounting classifications follow the finance team's approved policy.

Next, match the underlying order or invoice references. A return may belong to an earlier selling period, and a fee correction may relate to a previously settled transaction. Forcing every line into the current week's sales can produce a neat but misleading report.

Keep unmatched lines outside the automatic posting path

Use explicit categories for unknown orders, duplicate references, missing settlement files and unexplained charges. Show the original statement description beside the proposed classification. AI can help interpret inconsistent labels, but a familiar-looking description is not sufficient evidence for a financial posting.

Reconciliation should allocate and explain recorded amounts rather than create a second bank receipt. ERPNext's payment reconciliation documentation illustrates that separation between the existing payment and its allocation.

Separate three checks that are often collapsed

First, check that the statement's components add to its net amount. Second, match that net amount to the recorded deposit or deposits. Third, compare the sales, fees, returns and adjustments with the business's own evidence and approved terms. Passing the first two does not establish the third.

A review screen should show the outcome of each check. A statement can be arithmetically balanced and bank-matched while still containing ₹3,000 of disputed charges. Calling the whole settlement reconciled would obscure the commercial work. Conversely, a valid statement whose deposit is still pending needs a different follow-up from one containing unknown orders.

A single settlement can arrive in more than one deposit

Suppose an illustrative ₹177,000 settlement arrives as deposits of ₹100,000 and ₹77,000. Keep one settlement reference linked to both recorded receipts. Matching the first deposit should leave ₹77,000 outstanding against that settlement, rather than create an unexplained short-payment case for the entire difference.

The reverse can also occur: one deposit may cover several settlements. Retain the allocation amounts and available balances on both sides. Similar totals can suggest a match but should not establish it without supporting references or an approved rule. Finance needs to see the unresolved amount after each allocation, particularly when statements and deposits arrive on different days.

Treat a corrected file as a new version of evidence

A retailer may resend a statement with one fee corrected. Retain both files and compare their identities and lines. The integration should propose the difference required by the correction, rather than post the entire revised statement again. Keep the earlier processing result visible so the reviewer can explain the change.

Agree how negative lines and reversal references are represented in each channel's format. A parser that drops a minus sign can turn a credit into a charge while still reading the number accurately. Include such cases in acceptance testing and require the resulting amount bridge to be reproducible from the source. A model explanation without the original statement line is insufficient evidence for posting.

Make the pilot reproducible from source files

Begin with one channel and its actual statement formats. Retain each imported file's identity, processing result and corrections. Re-importing a file should reproduce the earlier outcome or surface a changed version, not duplicate its transactions.

Acceptance testing needs a negative adjustment, a late return and a settlement split across deposits. Measure unmatched value and reviewer effort after the system has assembled the bridge. A finance user should be able to explain the final deposit without asking the implementation team to inspect an integration log.

Summary

Settlement reconciliation should explain both the arithmetic and the legitimacy of each component. A deposit can match a statement containing incorrect fees or duplicated returns. Keep the bank match, transaction match and disputed charges visible as separate parts of the same account.

What to do next

  1. Reconstruct one complete settlement using its original statement and recorded bank receipt.
  2. Identify unmatched lines and assign the evidence required for each.
  3. Run a corrected statement and split-deposit example through the proposed workflow.
